Privacy Policy

These Terms govern your access to and use of SIMA MIND (the "App," "Service"), operated by SimaTech ("SimaTech," "we," "us," "our"). By creating an account or using SIMA MIND, you agree to these Terms. If you do not agree, please do not use the Service.

1. Information We Collect

Information you provide directly: Name; Email address; Education level, grade/year, program/course, and institution; Study preferences (preferred study time, attention span, learning style, daily study hours); Content you upload (PDFs, PPTs, DOCX files, images, notes); Your conversations and questions submitted to SIMA's AI tutor; Quiz, flashcard, and exam-practice results; Subscription and billing details (payment status, plan tier — full card/mobile money credentials are handled directly by our payment processor, Flutterwave, and are not stored by SimaTech). Information collected automatically: Usage data (features used, session length, study activity, app interactions); Device information (device type, operating system, app version); Approximate location, where relevant to service functionality (e.g., currency shown at checkout).

2. How We Use Your Information

We use your information to: create and manage your account; personalise your study experience (adaptive explanations, timetables, quiz difficulty); generate AI responses and study material based on your uploads and study history; process subscriptions and payments; provide customer support; send account-related notifications (e.g., study reminders, if enabled, billing notices, security alerts); maintain, secure, and improve the Service; comply with legal obligations. We do not sell your personal data.

3. Who We Share Data With

We share data only where necessary to operate SIMA MIND, including with: third-party cloud hosting providers (secure storage of your account data, uploads, and study history); Flutterwave (processing payments made directly through SIMA MIND); Google Play (where you subscribe or install SIMA MIND via the Play Store); analytics and infrastructure providers, as needed to operate and secure the Service. These providers are only permitted to use your data to perform services on our behalf, and are subject to appropriate confidentiality and security obligations. We do not share your data with third parties for their own independent marketing purposes.

4. AI Processing

SIMA MIND's AI tutor is hosted and run through SimaTech's own infrastructure, using third-party hosting/channel services to operate. Your questions, uploaded content, and study data may be processed by these systems to generate AI responses and personalised study material tailored to you.

5. Data Storage & International Transfers

Your data is stored with a third-party hosting provider. Because SIMA MIND serves users internationally, your data may be processed or stored in a country other than your own. We take reasonable steps to ensure your data is protected consistent with this Policy wherever it is processed.

6. Data Retention

We retain your personal data for as long as your account is active, and for a reasonable period afterward to comply with legal, accounting, or security obligations, resolve disputes, and enforce our agreements. When you request account deletion, we will delete or anonymise your personal data within a reasonable timeframe, except where retention is required by law.

7. Children's Privacy

SIMA MIND requires users to be at least 13 years old. We do not knowingly collect personal data from children under 13. If we become aware that we have collected data from a user under 13, we will take steps to delete it. Parents/guardians who believe their child has provided us with data in violation of this Policy should contact privacy@simatech.uk.

8. Your Rights

Depending on your location, you may have rights to: access the personal data we hold about you; correct inaccurate data; request deletion of your data; object to or restrict certain processing; request a copy of your data in a portable format. To exercise any of these rights, contact privacy@simatech.uk. To delete your account specifically, contact account-deletion@simatech.uk or visit simatech.uk/account-deletion. We will respond to legitimate requests within a reasonable timeframe, consistent with applicable law.

9. Data Security

We use reasonable administrative, technical, and organisational measures to protect your data against unauthorised access, loss, or misuse. No system is completely secure, and we cannot guarantee absolute security of information transmitted to or stored by SIMA MIND.

10. Governing Law

Because SIMA MIND is used across multiple countries, the specific data protection rights available to you may depend on the laws of your country of residence. Where mandatory data protection laws apply to you, those laws govern to the extent required. Subject to that, this Policy is otherwise interpreted under the laws of Zambia.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the app or via your account email where reasonably possible, along with an updated "Last updated" date.
